What personal data we collect and why we collect it

Across the services that we offer, we collect only the minimum amount of personal data required to operate those services for the benefit of the organisations and individuals using them.  For registering organisations (clubs, teams, groups, schools, etc) we collect the organisation name and a location so that we can set the correct timezone.  We also collect the name, Email address and mobile number of the club “owner” (the club administrator) who created the club and would be responsible for plan payments.  For regular club members (secondary admins, coaches, players, members, participants) we collect a name, Email address and mobile number.  We collect this data to enable us to deliver the services as set out in the Terms of Service to uniquely identify all entities (clubs and members) that are part of and using the services.

We use the personal information we collect about you in a number of ways. These may include but are not limited to:

Non personally identifiable information, or non-personal information, refers to information that is recorded about users in such a way that it no longer reflects or references an individually identifiable user. This is sometimes also referred to as “anonymized” or “aggregated” data.

As is true of most websites, ClubEvent may also automatically collect conventional web-server logs. This information can include:

  • internet protocol (IP) addresses,
  • browser type,
  • internet service provider (ISP),
  • referring/exit pages,
  • operating system,
  • date/time stamp, and
  • clickstream data (URLs).

These logs are automatically deleted after a short period of time.

Contact and Support forms

If you use our Contact form, we will collect your name, Email address and potentially your phone number (along with your comments) so that we may respond to you.

If you request technical Support, we will ask you for information necessary to authenticate you as a customer or end user, and to provide the requested support. Information that may be asked for includes your name, Email address, phone number, location, information about your computer hardware or device and software, and the nature of the problem you are experiencing.

Embedded content from other websites

If following links to embedded content from other websites (e.g. videos, images, articles, etc.) these links behave in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.  We encourage you to read and understand the privacy policy of each these sites and services.

Cookies

Cookies and Web Beacons are used for aggregated site analytics but not for collection of personal information. Google Analytics is used for this purpose, so you are encouraged to read Google’s Privacy Policy (http://www.google.com/intl/en/policies/privacy). You may opt out of having your data by Google Analytics by installing the Google Analytics Opt-out Browser Add-on (http://tools.google.com/dlpage/gaoptout).

We do not operate a tracking network and as such we do not at present take any particular action in response to the contents of Do Not Track (DNT) headers, however your attention is drawn to the fact that some embedded content service providers can operate tracking networks and that their privacy policy disclosures with respect to DNT may be relevant.

Who we share your data with

We DO NOT sell (or rent) your personal information to ANY third party.  We will not share your personal information with other companies or individuals outside of ClubEvent, its parent, subsidiaries and/or affiliates other than in the following circumstances:

  • with your consent;
  • if you register for services that are co-branded and/or offered in conjunction with another company, both ClubEvent and the other company may receive the information collected;
  • if we have a good faith belief that such action is reasonably necessary to:
  • comply with any applicable law, regulation, legal process or enforceable governmental request,
  • protect any rights or property of ClubEvent, including the investigation of possible breaches of or enforcement of any of our agreements,
  • detect, prevent, or otherwise address fraud, security or technical issues, and/or
  • act in urgent circumstances to protect against imminent harm to the rights, property or safety of ClubEvent, its users or members of the public;
  • if ClubEvent becomes involved in a merger, acquisition, any form of sale of some or all of its assets or liquidation of ClubEvent. Such a transaction may involve the disclosure of personal information to prospective or actual purchasers, or receiving it from sellers. It is ClubEvent practice to seek appropriate protection for information in these types of transactions.

To the extent we are legally permitted to do so, we will take reasonable steps to notify you in the event that we are required to provide your personal information to third parties as part of legal process.

While ClubEvent may share aggregated statistical information (non-personal information) about users of our services with third parties, including our data licensors, distributors, vendors, actual and potential customers, and third-parties that offer products or services for use with our services, this information is anonymized and not linked to any personal information.

How long we retain your data

ClubEvent will not retain your personal information longer than is necessary for the purposes for which it was collected.

For users that register on our website, we also store the personal information you provide in your user profile. All website users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

If you have given us your personal information, you can also request to update, correct, or delete it (assuming that this does not impact the services we are providing to you) at any time. Where we can provide information access and correction, we will do so for free, except where it would require a disproportionate effort, in which case we may assess a fee. If a fee is required, we will inform you.

Links to Other Companies and Service Providers

Through links on the ClubEvent website and services, you may interact with a number of service partners with whom ClubEvent has a relationship to provide information for continued service, or execution of a service.  We use OneSignal to deliver push notifications. OneSignals privacy policy can be found here(https://onesignal.com/privacy_policy). We use Stripe for payment services and will only share the minimal amount of personal information required by their service to enable the transaction to be completed by you.  Stripe’s privacy policy can be found here (https://stripe.com/gb/privacy).

ClubEvent expects that personal information provided to partners will be protected under policies at least as strict as our own privacy policies, however ClubEvent does not exercise control over the partner sites. Please be aware that ClubEvent is not responsible for the privacy practices of such other sites. These other sites may place their own cookies or other files on your computer, collect data or solicit personal information from you. ClubEvent strongly encourages you to review the privacy policies posted on these (and all) third-party sites, as they may differ from ClubEvents in some particulars.

Acceptance and Changes to Privacy Policy

You acknowledge and accept that your use of the webeite or use of the ClubEvent services indicates your acceptance of this our Privacy Policy.

We reserve the right to modify this Privacy Policy at any time. We will advise you of changes by posting on our website. Whe we  update this policy, the “Last updated” date at the top of this policy will reflect the change.
